Minutes of COUNCIL REPS MEETING

The meeting was called to order by Bob Rowland - outgoing President of S.E.V.V.C. at 10:08 AM with the introduction of the S.E.V.V.C. Officers present and the representatives of the 23 Councils present; D. C. Van Council, Downstate Illinois Van Council, Florida Van Council, Heart of America Van Council, Hoosier Van Council, Maryland Van Council, Michigan Van Council, New England Van Council, New Jersey Van Council, New York City Van Alliance, New York City Van Council, North Carolina/South Carolina Van Council, Northeast Ohio Van Congress, Northern Illinois Van Council, Ontario Federation of Truckers, Pennsylvania Van Council, Southern Ohio Van Council, Southern Van Council, Texas Van Federation, Van Club Association of Michigan, West Lake Erie Van Council.

The minutes of last years meeting was read by Bob Rowland with no corrections, additions or deletions.

Bob then turned the meeting over to the incoming S.E.V.V.C. President "Wild" Bill Robins. Bill Robins then opened the floor for discussions:

Topics discussed:

1988 Nationals - To be held in Ohio at the Clark County Fairgrounds, Sponsored by Vans On The Run, Springfield, Ohio. The theme to be "Sweet Sixteen"

Nationals Board of Regional Governors - It was brought up that Rocky Mountain Vans could not realistically continue to be the governing force behind the Nationals and RV passed out a list of the Regional Governors, listing the region they are responsible for.

Admitting pick-ups & mini pick-ups to Van-Ins was discussed and the debate ranged from not allowing them, to some Clubs saying they represent more income at Events. The majority agreed that it's up to the Host Club and that if your event is VANS only, state it on your flyer.

Also discussed, was the problem with walk-ins at Events. Most agreed that security has become a problem & ways to handle this vary from area to area, and that Host Clubs must address this as a possible serious Liability problem.

Trailers at Van-Ins was discussed, with most agreeing that the cost for Campgrounds had to be passed on to those with trailers, when the Campgrounds is charging the Host Club for trailers. However, most agreed that 1 Club trailer of the non-sleeping type per club should be allowed free.

An update on this years Nationals was given - Gates will open at 9:00 AM on Thursday, the grounds will not allow anyone in sooner. It was noted that the Pre warmup party, this year is at a different Campground and although the drive to the Nationals location is short, the road is narrow and people leaving the party on Thursday morning will have to leave in small groups. There is a county ordinance against Parades. It was also announced that 1 Club trailer per Club will be let in free, although it was not on the flyer.

Again this year the topic of getting new members into the Vanning movement was brought up with the following suggestions:

(1) Better use of Vanning magazines to inform the public of upcoming events.

(2) Post notices listing area Clubs and events at Van shops.

(3) Possible use of car dealers to inform buyers of Vans about the Van Clubs available in their area.

(4) Generate more excitement within your Club to go out and get new members.

(5) Van-Ins - Park Independents together - This has generated new Clubs in some areas.

(6) Do more charity work for the Club exposure.

(7) Use Club cards and flyers to put on windshields of possible members.

(8) Set up council booths at Car Shows

The Host Council for the 1988 meeting was decided and is West Lake Erie Van Council. Details will be announced when they are firm.

Minutes of afternoon General Meeting:

The meeting was called to order by Bill Robins, Prez. S.E.V.V.C. at 2:11 PM. Introduction of the 23 Council Reps, seated at the head table, was completed.

The minutes of last years meeting was read by Bob Rowland, S.E.V.V.C.

The minutes of the morning meeting were read by Homer Miller, S.E.V.V.C. RV, representing the Northeast Great Lakes Region, Introduced the Representatives for the National Board of Regional Governors and listed the states that each region covers.

Topics discussed:

Mid West Vans is conducting a survey on Vanning and passed out a questionnaire to be filled out by those present. Results will be handed out at the Nationals in Rhode Island.

The 1988 Nationals was announced to those present. It will be at Clark County Fairgrounds, Springfield, Ohio. The Host will be Vans On The Run and the theme will be "Sweet Sixteen".

There was considerable discussion on Van Show classes and classification of the Model years far Show & Shine. It was suggested that there be a separate class for 6 Wheelers. It was noted that some Clubs class them with Radical.

Discussion on Standardized judging sheets for shows be possibly worked on. Should all shows use the same form? Most agreed that this should not be done due to the fact that everyone does not agree on what makes a good Show Van.

There was some discussion on organizing a National Club Directory. It has been tried in the past with limited success.

An update was given on the 1987 Nationals. Gates will not open until 9:00 AM on Thursday and 1 Club trailer per Club will be allowed in Free.

Discussion on the universal age limit on charging for children at Van-Ins. Most present agreed that Clubs should set the age limit of under 16 Free.

Discussion on Scams and problems at Van-Ins - Video dealer not delivering tapes sold at an event this past year. Loss of a Club Generator and speakers at The Eastern Van Nationals last year. Most agreed that tighter security could help in some cases, but as Vanners we have an obligation to each other to notify Security and check out anything suspicious at your neighbors campsite.

Discussion on Incorporating Clubs - It was noted that the new tax law will tax non-profit organizations, but Incorporating is a good idea for Clubs sponsoring events due to the possible libel suits if you have a problem.

The raffle for the Basket of Cheer sponsored by S.E.V.V.C. was drawn and the winner was; Chris Hochadel, South Town Vans.

The pass on head was presented to Joe Madonia, West Lake Erie Van Council - The Host for next year's meeting.

The meeting adjourned at 4:28 PM.
